Airport

Newcastle Airport is just 34km north-west of NEX, an easy 35-minute commute.

Sydney Airport is 157km south-east of NEX via the M1 Freeway. Travelling time approximately 1 hour and 55 minutes.

Train

Trains terminate at Newcastle Interchange from the Hunter, Central Coast and Newcastle lines. A light rail service operates to Honeysuckle station, a 200m walk from NEX.

Taxi

There is a taxi rank 450m from the NEX front door, outside Marketown Shopping Centre. Alternatively, you can book a cab by contacting

UBER

An Uber is approximately A$55 from the airport to the Newcastle Exhibition and Convention Centre. Please note that fares might vary based on exact pickup and drop off locations.

Follow the below steps if you would like to utilise an Uber service:

  1. Download the Uber App on your mobile device by searching ‘Uber’ in the App Store or Google Play.
  2. Create an account and enter your details as directed.
  3. Please wait until you have collected your luggage and are ready to leave the airport before requesting your ride using the Uber app.
  4. Exit the terminal – The pickup location will depend on the type of vehicle you have selected. Please refer to the instructions below to find out where to meet your driver.
  5. Look for your vehicle and driver – if you can’t find your driver, contact them through the app.

At Newcastle Airport, exit the terminal head towards the dedicated pick-up area for rideshare services is in the public pick-up zone out the front of the Arrivals end of the terminal.

Parking at the Venue

Hotel Parking Information:

  • Quest Newcastle: $30 per night (subject to availability upon check in)

There are two car parks located on site.

The King Street underground car park is located underneath our Wests City Club entrance is via King Street. Flat fee of $3.00 per hour.

The Bull Street hangar parking is located to the side of Wests City, entrance is via Bull Street. Daily fee of $2.00 per hour. Early Bird Parking Special for Bull Street parking, if your vehicle is in between 6:30am – 8:30am and out before 6pm for a flat rate day fee of $10.00. Please note, this special is only applicable to Bull Street parking.

Checking into your Hotel

For most hotels the check-in time is 1500 hours and checkout time is 1100 hours. Your hotel will do their best to have rooms available for early check-in, however if you wish to confirm your room for an early arrival, you will need to pre-book and pay for the room from the previous evening.

Registration Process

The registration desk will be located in the Lobby on Level 1 of the Newcastle Exhibition and Convention Centre. All participants must visit the registration desk to collect their Symposium materials and name badge before gaining access to the Symposium.

We encourage you to register as early as possible to allow for easy access to the Symposium Opening.

Catering and Dietary Requirements

Morning tea, lunch and afternoon tea for the duration of the Symposium will be served in The Avenue on Level 1 of the Newcastle Exhibition and Convention Centre.

If you have not already done so, please advise the Symposium Managers of any specific dietary requests (including any allergies). All attempts will be made to meet these requirements.

Breakfast will be provided by our sponsors, Medical Development International (MDI) and Siemens Healthineer during the Breakfast Sessions in the Vivid Room on Wednesday 19 July, and Thursday 18 July 2023 respectively. The breakfast is included and complimentary in your Symposium registration; however, we kindly request that you indicate your interest in attending the breakfast session on your registration form as catering has already been pre-ordered for these events and food stations will be available in the room at NEX.

During the main program and catering breaks at the Newcastle Convention and Exhibition Centre, there will be a separate catering table with dietaries catered for. If you have a specific need or allergy, your name may be labelled with a food item. Please speak to the waiter stationed at the table to confirm your requirement that you have previously provided.

For social functions, please make yourself known to wait staff if you have specific dietary needs. These have been provided to the organisers in advance if you listed these on your registration form. Dietary requirements are largely covered in the provided menus. At the Gala Dinner at the Newcastle City Hall, if you have a specific need or allergy, these will be served from the Cummings Room where the Art Exhibition will be displayed.

Symposium Program and Abstracts

The Australasian College for Emergency Medicine (ACEM) Winter Symposium 2023 has a detailed Symposium digital program available online. Click here to view the detailed program. We also have a PDF version of the program which you can print in advance if you would like a copy. There will be no printed programs available on site.

The detailed program will also be available on the Symposium App.

Workshops will run on Tuesday 18 July from 0800 – 1730 hours across three breakout rooms, The Vivid, King Street Room and The Extra. Prior to arriving at the Symposium, please register for your selected workshops as places are limited.

The Symposium Program commences at 0845 on Wednesday 19 July 2023 with a Welcome to Country. Please be seated at least 5 minutes prior to the start of the Opening Session.

Exhibition

The Exhibition will be located in The Avenue on Level 1 of the Newcastle Exhibition and Convention Centre.  All delegates are encouraged to visit the exhibits and meet with the exhibitor representatives to experience the products and services on offer.

Photography and Filming

Delegates are advised that segments of the Symposium will be filmed or photographed for the purpose of the Symposium proceedings.  The appropriate authority to publish permission applies. If you do not wish to be filmed or photographed, please advise the operator and move out of camera range.

The Drink & Draw Session by LEDA is an immersive experience, based around classic nude life drawing subjects, navigating through an array of mediums and techniques while sipping on a glass of wines and enjoying delicious refreshments.

On top of these, we have curated a list of recommended activities and restaurants to enhance your visit to Newcastle. 

Creche Services and Parents' Room

ACEM Winter Symposium has kindly offered to provide a complimentary parent’s room and creche service in the King Street Room on the Ground Floor of the Newcastle and Exhibition Centre. The creche enquiries have now closed and were booked prior to the Symposium. For parents who have confirmed their requirements, please note the operational hours:

However only specific session times for caring of your children have been booked with the carers, therefore the stipulated caring hours must be adhered to.

In support of delegates with parenting or caring responsibilities, a private section in the creche room is available from Wednesday 21 July until Friday 21 July during the registration opening hours. Please ask at the registration desk for further assistance.

Sustainability Initiatives

The ACEM Winter Symposium Local Organising Committee have planned for the Symposium to be a sustainable event, with social functions within walking distance of Newcastle Exhibition and Convention. Other initiatives include:

  • The Symposium will not offer delegates satchels to reduce our waste to landfill
  • Delegates are encouraged to bring their own bag, notepad and pen to minimise our footprint
  • We encourage all delegates to return the name badges at conclusions of the Symposium so that they can be repurposed for other events
  • We are proud that our Symposium app includes all program information and allows delegates to participate in Q&As
  • NEX utilises environmental management systems that ensure sustainability for the local environment.

ACEM are collecting any unused hotel toiletries from attendees to give to Every Little Bit Helps – a charity who then repurposes unused items to create care packages for the homeless, troubled youth, asylum seekers and victims of domestic violence.  Please bring any items to the registration desk collection point before registration closes on the last day of the event.
